Electrical Accomodations Area
The Electrical Accommodations Area (EAA) is an area on the Florida Frontiersmen property available exclusively to Florida Frontiersmen members for short-term modern camping using trailers and RVs with electrical hookups. It is not a general use campground, RV park, or modern camping facility. Individual spots within the EAA are reserved by members on an annual basis from December 1 – November 30.

1.0-CONTEXT
1.1 – Electrical accommodations are available in the modern camping area only for the convenience of members of the Florida Frontiersmen, Inc. (the “Club”). These rules, regulations, and procedures govern the use of such accommodations. The Club’s property is not a campground, RV park, or modern camping facility.
2.0-GENERAL RULES
2.1 – In addition to these Electrical Accommodations Area (EAA) Rules, Regulations, and Procedures, Club Members must also adhere to By-Laws, Section 11.2 – Florida Frontiersmen, Inc. Camping Rules and Regulations.
2.2 – Camping is limited to no more than two consecutive weeks, excluding shoot weekends, and the Rendezvous Camping Period, unless approved by EAA Manager. Additional fees may be applied for the major extension of the camping period, see 5.0 Item j.
2.3 – Potable water for filling water tanks is available at designated potable water spigots. Black and gray water disposal is the responsibility of the Club Member.
2.4 – Use of generators in the EAA is strictly prohibited.
2.5 – While utilizing the electrical accommodations, Club Members must reasonably conserve power consumption. When a recreational vehicle camper (camper), tent, or other living accommodations will be left unoccupied on a site for more than 24 hours, the following must be turned off: air conditioners, electric hot water heaters, and AC lights. Refrigerators and battery chargers may remain connected.
2.6 – Electrical pedestal breakers must be turned off before plugging into or unplugging from the pedestal receptacles.
2.7 – Club Members are responsible for all damages they cause to an electrical pedestal, including, but not limited to, the cost of the repairs to or replacement of the pedestal, wire, and conduit.
2.8 – Club Members occupying a site are responsible for the cleanliness of the site. Upon departure from a site, the Club Member should clear the site of anything that was not there when they arrived.
2.9 – Only one camper unit is allowed on a site, unless otherwise approved by the EAA Manager (the “Manager”, defined in Section 5.1).
2.10 – During the Rendezvous Camping Period, cargo trailers and vehicles are to be limited to within the limits of your site and cannot crowd your site. Additional parking is available for cargo trailers and vehicles to the south of the EAA area.
2.11 – Storage of any vehicle, camper, trailer, or similar property on a site is strictly prohibited.
2.12 – Subleasing of sites, tents, or campers is prohibited.
2.13 – Use of sites by Non-Club Members:
2.13.1 - During the Rendezvous Camping Period, any Club Member occupying a site in the EAA may allow a family member or guest to stay in the Club Members camper in the EAA.
2.13.2 - With the exception of the Rendezvous Camping Period, a Club Member may also have guests, including perspective members, utilize EAA camping sites in accordance with section 4.5.
2.13.3 - The Club member must be present on the property and shall be responsible for advising the family member or guest of the EAA Rules, Regulations, and Procedures and shall be responsible for the conduct of the family member or guest in the EAA. If the family member or guest is not a Club Member, then the Club Member occupying the site also must carry out their responsibilities as described in Section 8.4 of the Club’s By-Laws.
2.14 – Club Members utilizing an EAA site must provide their contact information and register their recreational vehicle (RV). Contact Information is to include contact name, phone number, and email address. Registration of RV is to include the type, make, model, AMP service, length of the vehicle, and license plate number. Club Members are to notify the Manager of any changes to their contact information or RV registration, even if it is on a temporary basis.
2.15 – Failure to abide by these rules and procedures will result in disciplinary action by the Board of Directors, including, but not limited to, forfeiture of the privilege of using electrical accommodations and sites, without refund of previously remitted fees.
3.0-CAMPFIRES IN THE ELECTRICAL ACCOMMODATIONS AREA
3.1 – No ground fires or dug pit fires are permitted. The use of metal fire rings or above-ground container type fire pits no larger than 36” diameter is permitted.
3.2 – Fire rings or above-ground pits and unused firewood must be removed from an unoccupied site.
3.3 – The availability of a (minimum 5-pound) fire extinguisher is mandatory if a fire ring or above-ground container is used.
4.0-RESERVED AND NON-RESERVED SITES
4.1 – Annual Site Reservation
4.1.1 – The annual site reservation period is from December 1 of one year through November 30 of the following year.
4.1.2 – To reserve an available particular site for a one-year period, a Club Member must submit to the Manager a completed Electrical Accommodations Site Reservation Application and Agreement and pay the Annual User Fee.
4.1.3 – The annual site reservation process will happen according to the following schedule.
a. The period for reserved-site holders to renew their site reservations will begin on the September meeting date and end on the October meeting date. Any sites not renewed by the end of the day on the October meeting date will become non-reserved sites and will be available for reservation by any Club Member.
b. The period for Club Members to reserve non-reserved sites will begin the day after the October meeting date and end on the November meeting date. Reservations will first be offered to Club Members on the Reserved-Site Waiting List in order that the names are added to the list. If the Waiting List is cleared and there still are non-reserved sites, then reservations will be accepted on a first-come, first-served basis.
c. If there are any non-reserved sites after the November meeting date, those sites will remain available throughout that reservation year for use by any Club Member as described in Sections 4.7 and 4.8.
4.2 – Within the limitations listed in Section 2.2 of these Rules, Regulations, and Procedures, a reserved-site holder may use the reserved site at any time during the year with no additional user fee, unless an additional fee is charged to all reserved-site holders as described in Section 6.1.
4.3 – A Club Member may retain their site-reservation until it is voluntarily surrendered, the Annual Fee is not remitted by the established deadline, or their Club membership lapses.
4.4 – The name and contact information of the holder of a reserved site will be posted inside the cover of the reserved site’s electrical pedestal by the Manager. A list of open sites and reserved sites (with the member’s contact information) will also be listed in the Site-Reservation Registry in the Club Member section of the Club’s web site by the Manager.
4.5 – A reserved site may be used by any Club Member if and only if they contact the reserved-site holder and receive permission for the use of that site for a specified period except during the entire Rendezvous Camping Period (as defined below in 4.8).
4.5.1 – If the Club Member is not a reserved-site holder, the applicable Daily User Fee(s) will be paid to the Club.
4.5.2 – If the Club Member is a reserved-site holder who wants to use the other site instead of their reserved site, no additional user fee(s) will be due.
4.5.3 – If the Club Member is a reserved-site holder who wants to use the other site in addition to their reserved site, the applicable Daily User Fee(s) for the other site will be paid to the Club.
4.5.4 – If the Club Member will not be using their reserved site during the Rendezvous Camping Period and is willing to allow another Club Member to use their site for the entire Rendezvous Camping Period, the Club Member is to notify the EAA Manager as soon as possible. The EAA Manager will use the EAA waiting list to fill the site for the entire Rendezvous Camping Period.
4.6 – If a reserved site becomes available during the annual payment year, that site will become a non-reserved site until the next annual site reservation period.
4.7 – A non-reserved site may be used on a first-come, first-served basis except during the Rendezvous Camping Period. The applicable Daily User Fee(s) are to be paid to the Club.
4.8 – For use of non-reserved sites during the entire Rendezvous Camping Period, an approximately 7-week period which starts at the Club Members’ early set-up date (around mid-December) and runs through the February meeting date, The EAA Manager will use a waiting list to fill the sites for the entire Rendezvous Camping Period on a first come first served bases. A completed Electrical Accommodations Site Reservation Application and Agreement and payment of fees will be accepted starting the day after the November meeting date. prior to the use of the site.
5.0-MANAGEMENT AND ADMINISTRATION
5.1 – In conjunction with the Property Manager and the Treasurer, the EAA will be managed by a volunteer EAA Manager appointed by the Club’s Board of Directors.
5.2 – The Manager will:
a. Be responsible for the collection and reconciliation of fees.
b. Maintain a yearly Site Reservation Registry.
c. Publish the Registry on the Club’s website.
d. Post contact information for each reserved site as described in Section 4.4.
e. Maintain a Reserved-Site Waiting List, in order of receipt, of Club Members who have requested a reserved site.
f. Be responsible for the management, administration, and enforcement of these Rules, Regulations, and Procedures.
g. Report quarterly to the Board of Directors. The report should include the status of fees collected and comparisons of actual costs compared to projected costs.
h. Provide an annual review of financial results and a recommendation for a fee structure for the ensuing year. The schedule for the annual review and recommendation will be determined by the Board.
i. Perform other duties as may become necessary to successfully manage the EAA.
j. Coordinate with the Board for major extensions of camping period and additional fees to be applied.
6.0-ELECTRICAL ACCOMMODATIONS AREA USER FEES
6.1 – User Fees will be determined by and are to be used to reimburse the Club for the cost of total electrical usage, operating expenses, electrical service maintenance, a maintenance reserve, future expansion, and other facility improvements relating to the EAA as established by the Board of Directors.
6.2 – User Fee Types and Definitions:
6.2.1 – Daily User Fee: Assessed per night stay while using power at the site during the non-Rendezvous Camping Period. This fee is charged only to Club Members who are not reserved site holders. Payment is due at the end of each camping period.
6.2.2 – Rendezvous Period User Fee: Assessed for each day of the entire Rendezvous Camping Period (as defined above in 4.8) whether or not power is used not to exceed the yearly annual user fee for a reserved site. This fee is charged only to Club Members who are not reserved site holders. Payment is due prior to the use of the site. Prepaid fees are neither refundable nor transferable. Prepaid rendezvous period user fees are subject to the applicable Florida Sales Tax.
6.2.3 – Annual User Fee for a reserved site: Assessed annually. Prepayment constitutes the reservation of a particular camp site for the payment year, including the Rendezvous Camping Period. Prepaid fees are neither refundable nor transferable. Prepaid annual user fees are subject to the applicable Florida Sales Tax.
6.2.4 – Annual User Fee for non-reserved sites: Assessed annually. Prepayment would include daily user fees for the EAA year, rendezvous period user fees if a site is available and if selected from the EAA waiting list for the rendezvous period. The fee will be the same fee as established for 6.2.3. Prepaid fees are neither refundable nor transferable. Prepaid annual user fees are subject to the appliable Florida Sales Tax.
6.3 – Daily User Fees are paid through an Honor System. Each user is responsible for paying the Club for the fees incurred. Payment is to be made at the drop box located at the northeast corner of the equipment shed. The user should complete the preprinted envelope, therein enclose a check (no cash) payable to the Florida Frontiersmen, Inc., and place the envelope inside the drop box.
